User friendly, and very quick
So in short, we're using Canto as a place to house the best of every category of work we do, so that anyone on the team can find what they need!
- Share links. Now, we can share video asset examples to our clients without them having to download it! They can click on the link, and watch it immediately in a browser, major time saver. Also, for security reasons, it's great that we can set an expiration date to those links, and toggle download permissions.
- Filter bar. I love how I can quickly filter the assets I currently have in my window. I might use the search function, but realize I missed one part of the search. No worries, I can quickly filter those results!
- Portals and Workspaces. I love how I can control what users can see in their portals, and that I can use a Workspace to organize assets before making them visible on the general Canto library. This allows me the time to organize assets on Canto, without risking them falling into other's hands before they're ready.
- I don't love the share features for My Collections. Right now, to share a collection externally, you have to go to the collection, select all the assets, and create a share link. There should be a share link creation associated with the collection itself.
- Moving and creating folders and albums is slow. Anytime I create or move one, the system will take quite a few seconds of loading time. Also, after it's done, the entire folder structure will collapse to its smallest state, and I usually want it to remain the way it was.
- Tagging. This isn't a unique issue with Canto, but I wish tagging was less manual, wish I could create shortcuts for tags. I have to make repetitive tags as I want to make sure the right results come up for a user, no matter how they search for it. For example, I'll manually tag an asset "e-comm" "ecomm" e-commerce" and "ecommerce."
However, if you're looking to create an educational portal, this may not be the right environment. Leaving notes and comments on Canto is a little hard to do, and they are not easy to find when looking at an asset.
Overall, would recommend
- Best search functionality out of all other DAM systems I looked into.
- Frequent product updates.
- Good customer service.
- Slow load times (especially for video).
- Only admins ("power users") can upload assets into the main library. Canto limits the number of admin seats you can have.
- Initial training was not very helpful.
- The original link of a file remains the same even after uploading new versions. This allows us to link to or embed files (whether graphics, images, PDFs, etc.) on the website one time and it can be updated in real-time without having to log into the CMS. This allows us greater control over who needs access to use our CMS and creates easy touchpoints for the internal teams that I serve.
- The tagging features in Canto are especially helpful as a secondary way to find/filter search results within the system. We have both a layered folder structure to house files, otherwise you can search by tags as well. A single file can belong to multiple tags which is really helpful.
- Canto also has many controls when it comes to privacy and user permissions. We can lock any particular folder or album and hide it so that only certain user accounts have permissions to view them. This again allows for greater control and gives our IT product team flexibility from an administrative perspective.
- I have noticed that overall the major downfall in implementing this system is a lack of infrastructure/rules to create a standard operating procedure for all users. This is the downside of having such a flexible platform: it is easy for the organization of files to get messy and to be mismanaged. Our IT team has been slowly rolling out the use of Canto across the organization until there is clear direction when it comes to organization and administrative privileges. A more robust onboarding experience for the tool might be beneficial, or additional support resources for implementing across an organization.
- Recently there has been a little bit of a letdown when it comes to uploading new file versions. I am not sure the extent of the issue, but Canto has been experiencing issues (which they are currently in the process of resolving) where new file versions do not appear automatically. Sometimes it can take up to 24 hours for a new version to be "published". Hopefully this will be resolved and is just a temporary bug.
- I did not face trouble in its configuration, it provides much integration which helps me to extract the data across various platforms.
- I have got rid of manual maintenance of the files on my desktop, now I easily search and sought the file through date.
- It has provided an alignment to my daily work and I am its happy and satisfied customer.
- It is limited in terms of file upload it only processes the data up to certain limits but also it varies with the plan you have purchased, still, it’s an issue or the small business set-ups.
- Further with time this systems start to lag it take time to load any file.

Picture perfect organization tool
- I really like the organization features that allow us to search and quickly find what we need.
- The facial recognition feature is a great help. We keep folders for individuals that are often featured in promotional materials.
- We use the brand style guide to help organize our visual brand assets and share them with campus collaborators. It is very helpful for storing and protecting the complex collection of assets that are common for higher education institutions.
- We have experienced some laggy response times within the app on occasion. The Canto team is very responsive to concerns though.

- Canto is a very thorough program, the way you can tag and categorize your assets is very well put together.
- Facial recognition is by far the greatest idea and Canto does this well. It is a super helpful feature for us.
- We love the portal aspect of this platform. It is an extremely helpful tool.
- The option to make a single file downloadable or not. We have some highly sensitive files and some we don't want people to be able to download but be able to look at. So it would be nice if we could make a single file not downloadable. They do have other options like terms of use or watermarks but it [would] be nice if that was a feature. You could do this but only in bulk, so you'd have to make all files not downloadable.
- Their style guide option - being able to use a single image for the style guide instead of the whole folder or file.
- I think the different language option could be built out a little better.
- The search function works really well. It's like searching in Google. You can put in a search based on so many different details you might have about what you are looking for and the chances are it'll come up.
- You can organize files into folders like you would on your computer or in Dropbox but you can also tag items so that when something can fit into two categories and can still be found in either.
- Another feature I love are the portals. They allows you to create a specifically catered list of items for a unique audience. This helps certain group avoid seeing items they don't need or are not allowed to have access to.
- The aesthetic of Canto could be improved. When compared with Dropbox and other modern software, I think the look and feel could be improved.
- Incorporating functionality with Excel and MS programs would help. An example of this is that when viewing an Excel file, you can only see a small preview of the file instead of being able to scan the spreadsheet and multiple tabs that might exist.
- Uploading content in bulk can be cumbersome. Canto defaults to putting in a lot of folders and sub folders when many times it would be better if things were categories into albums instead.
